You can manage XTruLink users and permissions under System setup. We encourage you to keep this up to date as staff roles and involvement change. 

User List

The User List contains all XTruLink users. From the Main Menu, navigate to System > User List.

To add a new user:

  1. Click Add User on the top-right corner of the page
  2. Add Name, Title and Email Address
  3. Click Add User

To edit an existing user:

  1. Click the Edit icon next to the user's name
  2. Under Tasks on the right, you have the following options:
    1. Reset Password - sends a password reset email to the user
    2. Update Information - allows you to change Name, Title, User Group(s) or Email Address
    3. Remove User - deletes user from the system and removes access

User Groups

User Groups allow you to define permissions for your various staff roles. From the Main Menu, navigate to System > User Groups. Within a User Group, you can select from a list of permissions to define access for your staff members. The following permissions are available:

PermissionDescription
Access Control SetupManages configuration for access control devices. This includes adding users and configuring attendant modes.
Cloud SetupFull access to the Cloud Setup tab in the Main Menu. This is where you can view all programs, memberships and designations syncing from your Altru database. Tasks in this section include:
  • Adjusting program display names
  • Adjusting price type display names
  • Configuring order receipts, emails and text messages
Constituent & Membership InformationAbility to both Constituents and Memberships tabs in the Main Menu.
Digital Membership SetupFull access to Digital Passes tab in the Main Menu. This allows users to:
  • View list of digital passes created in XTruLink (with Membership ID, date created, and downloads)
  • Add/Edit digital pass templates
  • Adjust automation settings (pass download emails for new members)
Kiosk Setup - Full AccessFull access to Kiosk tab in the Main Menu. This allows users to:
  • View kiosk list and add/edit kiosk names, locations and schedules
  • Add/edit kiosk themes, products, templates and schedules
  • View list of credit card readers
Kiosk Setup - Kiosk List & Schedules OnlyAbility to access Kiosk List and Schedules from Kiosk tab. This allows users to:
  • View kiosk list and add/edit kiosk names, locations and schedules
  • Add/edit kiosk schedules
MessagesAbility add/edit system receipts and messages under Cloud Setup tab. This includes both emails and texts. 
Online Setup - B2BAbility add/edit B2B Program Lists and B2B Companies under Online Sales tab.
Online Setup - B2CAbility to edit Web Portal under Online Sales tab. This allows users to:
  • Edit web portal theme
  • Configure web portal menu and programs
  • Add/edit order receipts and emails
  • Adjust custom CSS
  • Add Google and Facebook integration codes
Orders List & Order DetailsFull access to Orders tab in the Main Menu. This includes running an order report and viewing details within a specific order.
ReportsFull access to Reports tab in the Main Menu. This allows users to run a variety of canned reports.
Text MessagingFull access to Text Messaging tab in the Main Menu. This allows users to:
  • Add distribution lists for text messages
  • Adjust message sending window (time of day your messages go out)
  • Create text messages
  • Run delivery reports
User ManagementAbility to add/edit users and user groups (permissions). What this whole page is all about! 
XTruLink AdministratorFULL ACCESS TO ALL BACK OFFICE FUNCTIONS.
XTruLink System SetupFull access to System tab in the Main Menu. This allows users to:
  • Add/edit users and user groups
  • Adjust payment processing settings (Stripe or BBMS)
  • View additional settings


By default, your system will contain four user groups. These are:

You can also create your own user groups by clicking Add Group on the User Groups page and selecting the permissions to include.
